How to track RSVPs for an Indian wedding (without a spreadsheet war)
Ask every guest the same three questions — are you coming, how many of you, and which functions — keep the answers in one list, and chase non-replies once. The rest is arithmetic.
Why RSVPs are hard at Indian weddings
- Invitations go to families, not individuals, so “yes” can mean one person or six.
- There are several functions, and not everyone is invited to, or coming to, all of them.
- Many guests consider replying unnecessary — “of course we’ll come”.
- Answers arrive by call, WhatsApp, in person and through relatives, and end up in four places.
What to ask
- Will you attend? Yes, maybe or no. “Maybe” is honest and better than silence.
- How many people, including you? Ask for a number, not names, unless you need names for seating or passes.
- Which functions? Only if guests are invited to more than one.
- Anything we should know? Dietary needs, travel dates, a room needed.
Keep one list
Whatever you use — a shared spreadsheet, a notebook, or an invitation that collects replies — make it the only list. One row per invited family or person, with: name, phone, side (bride’s/groom’s), functions invited to, reply, party size, and notes.
| Guest | Side | Invited to | Reply | People | Notes |
|---|---|---|---|---|---|
| Sunita & Ravi Verma | Bride | All | Yes | 4 | Jain food |
| Kunal Shah | Groom | Wedding, reception | Maybe | 2 | Travelling that week |
| Mehta family | Groom | Reception | — | — | Remind on 15 Jan |
Chasing replies
Expect a good share of guests not to reply by the deadline. Send one polite reminder a week before it and a final one just after. For the few still silent, a quick call from someone in the family is faster than another message.
Estimating the final headcount
Add up party sizes for “yes”, then decide how to count the rest. A common rule of thumb is to count “maybe” at about half and to make a cautious estimate for non-replies based on how close they are to the family. Caterers usually allow a margin above the confirmed count — ask yours what it is before you finalise.
Questions people ask
What does RSVP mean?
It is short for the French “répondez s’il vous plaît” — “please reply”. On an invitation it means the host would like to know whether you are coming.
What should I do about guests who never reply?
Remind them once by message and once by phone. If there is still no answer by the caterer’s deadline, count them according to how likely they are to come, and move on.
How do I handle plus-ones?
Say clearly on the invitation who it is for — “for you and your family” or “for you” — and ask for a party size in the RSVP so there are no surprises.
